Overview of role:
The Finance & Admin Assistant is responsible for assisting the Finance & Support Services Manager, and Programme Manager with all financial and administrative matters related to the MAG Jordan programme
Responsibilities:
Finance
Prepare day-to-day financial payment vouchers for all financial transactions
Record all financial transactions within the MAG cash and bank books ensuring that transactions are recorded in line with MAG Chart of Accounts
Ensure that day-to-day transactions comply with MAG and donor policies and procedures, including ensuring compliance with MAG procurement procedures
Ensure all accounting records and supporting documentation for all financial transactions are maintained in a systematic order.
Prepare Daily, Weekly and Monthly reconciliation of cash and bank balances
Maintain a schedule of regular and contractual payments and ensure that these payments are made
Monitor, follow up and reconcile cash advances given to MAG employees
Assist in preparing balance sheet reconciliations for the MAG Jordan Programme
Admin
Draft formal letters and documents in Arabic for administrative purposes
Collect, review and file all MAG Jordan timesheets and boarding passes on a monthly basis
Assist in managing travel and visa’s as required such as booking flights, amending flight reservations, booking hotels, arranging local permits, coordinating transport arrangements etc
Welcoming visitors to the MAG office
Maintaining office/cleaning supplies and coordinating any necessary maintenance as tasked
Ensure the office is well supplied with stationery and other office essential materials
Providing general administrative support to the Management Team as required
Payroll
Prepare monthly calculation of MAG Jordan payroll for review and authorisation
Process salary payment to staff and prepare payslips on a monthly basis
Responsible for managing social security and income tax payments
Any other financial/administrative tasks that are required by MAG Jordan
Essential requirements:
· Further education in accounting/book keeping
· Previous experience in a finance and administration role, preferrably for an INGO
· Experience processing payroll and management of cash flow
· Excellent administrative skills
· Organised, able to multitask and manage a busy workload
· Excellent computer skills, including Word and Excel
· Able to work efficiently and meet deadlines
· Able to work with minimal supervision
· Reliable with good time keeping
· Excellent written and spoken English & Arabic
